How To Find And Use Your Family Notes

Your reimbursement has been reviewed. Now what? Family Notes are one of the main ways CFEF gives you information about your specific reimbursement. They are included with reimbursement decisions and can help you understand what happened, what you may need to do next, and information that may be useful for future submissions. Because the email notification you receive may not include these details, it’s a good habit to check your Family Notes after your reimbursements are reviewed—not only when something is denied.

WHERE DO I FIND MY FAMILY NOTES?

  1. Log in to your scholarship portal.
  2. Select Reimbursements from the top menu.
  3. Find the reimbursement you want to review. If it was not approved, scroll down to the separate Rejected Reimbursements section.
  4. Under Actions, select View Details.
  5. Review the Family Notes for information about that reimbursement.

WHAT MIGHT MY FAMILY NOTES TELL ME?

Depending on the reimbursement, Family Notes may include:
  • why a reimbursement was not approved,
  • documentation or information that needs to be corrected,
  • instructions for resubmitting when an issue can be corrected,
  • information about expense classifications or spending limits,
  • or other details that may help with future reimbursement submissions.

MY REIMBURSEMENT WAS NOT APPROVED. WHAT SHOULD I DO?

Start with the Family Notes.

READ → FIX → RESUBMIT → REVIEW

Read the instructions carefully, correct the issue when possible, and submit a new reimbursement as directed. Please don’t email corrected reimbursement documentation to CFEF. Documentation needs to remain connected to the reimbursement in the system so CFEF has a complete record for processing, accounting and auditing.

MY REIMBURSEMENT WAS APPROVED. SHOULD I STILL CHECK?

Yes. Family Notes can contain information that may help you understand how the reimbursement was handled or plan future scholarship spending and submissions.

MAKE IT A HABIT

After a reimbursement is reviewed:

Reimbursements → View Details → Family Notes

A quick check can help you understand your reimbursement and may prevent the same issue from happening again.
